SentraCare Mobile App — Privacy Policy

1. Introduction

This Privacy Policy describes how Applify B.V. (“Applify”, “we”, “us”, or “our”), a software development company based in Delft, The Netherlands, collects, uses, stores, and shares personal data when you use the SentraCare mobile application (“the App”, package name: com.applify.guardapp).

SentraCare is a caregiver and security monitoring application used in healthcare and emergency response settings. This policy applies specifically to the mobile app. It does not replace privacy policies of care facilities that employ you or provide services to you.

2. Who this app is for

SentraCare is intended for authorized caregivers and staff working in care facilities. The App is categorized under Emergency and first aid and Healthcare services and management on Google Play. It is not directed at children under 13.

3. Data we collect

3.1 Account and authentication data (required to use the App)

Legal basis (GDPR): Performance of contract / legitimate interest in providing the service.

3.2 Location data (collected with your permission)

SentraCare accesses and collects your device’s precise geographic location (GPS coordinates: latitude and longitude). This is a core feature of the App.

When location is collected:

  • While the App is open (foreground): When you are on the main dashboard, the App periodically reads your GPS position (approximately every 5 minutes).
  • While the App is in the background: If you grant “Allow all the time” / “Always” location permission, the App continues to collect your location via a foreground service (Android) or background location mode (iOS), even when the App is not visible on screen. A persistent notification is shown on Android while background tracking is active.
  • During emergencies: When you use emergency or SOS actions, your most recently known location is included in the data sent to our servers to help responders locate you.

Why we collect location:

  • To enable security monitoring of caregivers while on duty
  • To connect you with nearby help and support faster emergency response
  • To transmit your position to your care facility’s operations team via the SentraCare platform
  • To attach location context to emergency actions and alerts

Location data is transmitted to: https://prod2.sentracare.io/edge/v1/telemetry (production) as part of telemetry events (GuardApp.Position.v1), including timestamp and device identifier.

You can control location collection by:

  • Denying or revoking location permissions in your device Settings
  • Choosing “While using the app” instead of “Always” (this limits background collection)
  • Logging out or checking out of your shift (stops active tracking)

Legal basis (GDPR): Your consent (via OS permission prompt) and legitimate interest in safety monitoring for authorized caregivers.

3.3 Device and technical data

3.4 Operational and activity data

When you use the App, we process:

  • Check-in and check-out times and facility location
  • Alarm assignments, comments, and resolution notes you submit
  • Screen actions and emergency button interactions
  • Shift and dashboard activity
3.5 Client/resident data (displayed to authorized users)

If your role permits, the App displays monitoring data about clients/residents received from your organization’s SentraCare backend. This may include names, ages, room numbers, medical notes, emergency contacts, sensor readings (e.g., bed exits, heart rate, seizure alerts), and alarm/video data. This data is provided by your care facility; Applify processes it on behalf of your organization to deliver the service.

4. How we use your data

We use collected data to:

  1. Authenticate you and maintain your session
  2. Track caregiver location for security monitoring and emergency response
  3. Send push notifications for alarms and critical events
  4. Enable check-in/check-out and shift management
  5. Display client monitoring information to authorized staff
  6. Process and record your responses to alarms and emergencies
  7. Maintain and improve App reliability and security

We do not use your data for advertising. We do not sell your personal data.

5. Data sharing and third parties

We may disclose data when required by law or to protect safety and security.

We do not share data with advertising networks. We do not use Google Analytics or Firebase Analytics in the App.

6. Data retention

  • Account data: Retained while your account is active. You may request deletion via the in-app “Delete Account” feature or by contacting us.
  • Location telemetry: Retained according to your organization’s SentraCare data retention settings and our backend policies.
  • Session tokens: Stored on your device while logged in; cleared on logout.

7. Data storage and security

  • Authentication tokens are stored locally on your device (AsyncStorage / secure native storage) while you are logged in.
  • Data is transmitted over encrypted connections (HTTPS/TLS).
  • We implement industry-standard technical and organizational measures to protect data.

8. International data transfers

Applify is based in the European Economic Area (EEA). If data is transferred outside the EEA, we use appropriate safeguards such as EU Standard Contractual Clauses.

9. Your rights (EEA / GDPR)

You have the right to:

  • Access, correct, or delete your personal data
  • Restrict or object to processing
  • Withdraw consent (e.g., revoke location permission in device Settings)
  • Data portability
  • Lodge a complaint with your local Data Protection Authority

10. Account deletion

You can delete your account from Settings > Delete Account in the App. This sends a deletion request to our servers. Account deletion removes your account information and associated activity data as described in the App.

12. Changes to this policy
